P2.5 LED Screen Conference Berlin: 40sqm Indoor Event Wall Case

P2.5 LED Screen Conference Berlin: 40sqm Indoor Event Wall Project

This is a completed P2.5 LED screen conference Berlin project: a 40sqm Ehonor indoor LED wall installed in a corporate event and training center in Berlin, Germany. The client needed a single display that could serve keynote presentations, product launches, and multi-room training sessions. We supplied a 40sqm P2.5 indoor LED display with 3840Hz refresh and full magnetic front service. Below are the project details, the selection logic, technical specifications, and cost drivers.

Project Overview

The venue is a modern conference center in central Berlin with one main auditorium and three breakout rooms. The main auditorium holds up to 220 guests, and the wall position is behind the stage platform, visible from every seat.

Client Background

The client operates a venue that hosts roughly 40 corporate events per year, plus weekly internal training sessions. They previously rented projection equipment for every event, which created a recurring cost and a quality ceiling: ambient light in the auditorium washed out projected images during daylight events, and the rented projectors varied in brightness and color between suppliers.

They wanted a permanent display that would eliminate rental dependence, look professional during broadcast-style presentations, and require minimal staff training to operate.

Project Challenges

Three requirements shaped the whole selection process:

  1. Brightness under ambient light. The auditorium has large windows on the north side. Projection was unusable after 10:00 on bright days. The screen had to stay readable without blacking out the room.
  2. One wall, many layouts. The same wall hosts wide keynote slides (16:9), split-screen video calls, and data-dense training charts. Text clarity from 3 to 12 meters was critical.
  3. Maintenance without scaffolding. The wall sits 4.5 meters above the stage floor. Any dead-pixel repair had to be doable from the front, by venue staff, without moving the stage.

Why We Selected P2.5 Instead of a Projector, LCD Video Wall, or P3.9

The selection process took four weeks and three candidate technologies. Here is the decision path we walked with the client — the same one we use for any conference room LED screen project.

Step 1: Projector vs LED — killed on brightness and lifetime

The best laser projectors in this venue class deliver roughly 2,000-3,000 lumens at the screen plane after lens loss. On a 40sqm surface that means 50-75 nits before ambient light. A P2.5 LED wall runs at 600-800 nits and stays readable with house lights on. Projector lamps also need replacement every 5,000-8,000 hours; LED panels are rated for 100,000+ hours. For a venue used 40+ days per year, LED paid back through lamp and rental savings alone.

Step 2: LCD video wall vs LED — killed on seams and weight

A 40sqm LCD video wall needs around 100 panels in portrait orientation with 3.5mm bezels. Even with bezel compensation, every seam is visible at 3-4 meters viewing distance. The wall would also weigh roughly 1,400kg against the rear wall, requiring a reinforced structure. LED cabinets weigh 3kg per 480×320mm panel and mount magnetically to the frame — the whole 40sqm wall weighs under 400kg including the steel frame.

Step 3: P3.9 vs P2.5 — decided by viewing distance and text size

The auditorium’s closest seats are 3 meters from the wall; the farthest are 14 meters. Our LED display viewing distance guide puts P3.1-P5.0 at a comfortable range of roughly 10-17 meters, and P2.1-P3.0 at 7-10 meters. Because the front rows sit at 3 meters, P3.9 would show visible pixel grain on charts and logos. P2.5 keeps text sharp from 3 meters while still reading perfectly from 14.

At 8m × 5m, the wall runs at native 2,560 × 1,600 pixels — enough headroom to show two HD sources side by side without scaling artifacts.

Installation & Delivery

The venue prepared a light steel frame on the existing wall. Our team provided remote installation guidance plus a two-day on-site visit for calibration.

  1. Day 1: Steel frame leveling; magnetic rail installation; first-row cabinet mounting.
  2. Day 2: Full cabinet installation; power and signal wiring; first power-on test.
  3. Day 3: Module-level brightness and color calibration, 72-hour aging test, and staff training on the control software.

The fine pitch LED display platform’s magnetic front service means the venue team can swap a module in under a minute without touching the stage.

Project Result & Client Feedback

The wall has run 60+ event days since handover with no module failures. The client’s facility manager noted three things in particular:

  • Ambient-light performance: keynote slides are now readable with the north windows fully open, which the projection system never achieved.
  • Low-noise operation: the Ehonor cabinet’s power design keeps the auditorium quiet enough for panel discussions without air-conditioning noise.
  • Maintenance simplicity: front-service modules and spare-panel stock mean most issues are fixed in minutes by on-site staff.

The venue has since booked the auditorium for a national product launch series — a booking class that previously required a separate video production budget.

What Drives the Cost of a Similar Conference LED Screen

Customers asking about a conference room LED screen cost should budget around these factors:

  • Pixel pitch: P2.5 is the sweet spot for mixed 3-15m viewing. Stepping to P2.0 or P1.8 raises cost per square meter noticeably; stepping to P3.9 cuts it.
  • Cabinet platform: die-cast aluminum cabinets cost more than iron but cut weight and improve flatness — worth it on a wall 4.5m off the floor.
  • Control system: the NovaStar sending card, receiving cards, and a media player add a fixed budget of roughly 5-10% of panel cost.
  • Installation: steel structure, rigging, and calibration typically add 10-20% depending on wall height and site access.
  • Shipping to Germany: air freight for a 40sqm wall is around 2-3 tons of cargo; sea freight takes longer but cuts freight cost significantly.

For a wall this size, most customers land between a low five-figure and mid five-figure USD budget. Send us your room dimensions and viewing distance, and we will provide an itemized quotation within 24 hours.

Frequently Asked Questions

What is the best pixel pitch for a conference room LED screen?

For mixed viewing from 3 to 15 meters, P2.5 is the standard choice. If the closest seats are under 2.5 meters, step down to P2.0 or P1.8. If all seats are beyond 6 meters, P3.9 saves cost without visible grain.

Can a P2.5 LED wall replace a projector for corporate events?

Yes, in most cases. LED walls run at 600-800 nits versus 50-75 nits at the projector image plane, so they stay readable with ambient light. They also eliminate lamp replacement and rental logistics.

How long does a 40sqm LED wall take to install?

With the steel frame pre-installed, a 40sqm P2.5 wall mounts in 2-3 days including calibration. Most of that time is leveling and wiring, not panel mounting.

How much does a P2.5 conference LED display cost per square meter?

P2.5 indoor panels sit in the mid-range of the fine pitch price ladder — well below P1.5/P1.9 but above P3.9. Total cost depends on cabinet type, control system, and shipping. Contact us with your dimensions for a firm quote.

Can we show two presentations side by side?

Yes. At 2,560 × 1,600 native pixels, the wall shows two HD sources side by side, or a video call plus slides, without scaling one of them to a low resolution.

What happens if a module fails?

Spare modules ship with the order. Because service is 100% magnetic front access, a trained staff member can replace a module in under a minute. Our 24/7 technical support covers remote diagnosis via the NovaStar system.
